Self-Employed Declaration Letter for Schengen Visa 2026
Freelancers, consultants, business owners, and sole traders cannot get an employer letter — so they write their own. This declaration letter replaces the employment letter and tells the visa officer who you are, what you do, that you earn regularly, and why your business requires you to return home.
What the Letter Must Cover
- Nature of business — what you do, how long you've been doing it
- Business registration — registration number, country of registration
- Income — approximate monthly or annual income (match your bank statements)
- Active commitments — ongoing client work, contracts, projects that require your return
- Return intent — specific reason you will come back (client deadlines, business obligations, property, family)
Supporting Documents to Submit
- Business registration certificate / trade licence
- Personal bank statements — 6 months
- Business bank statements — 6 months (if separate account)
- Latest 1–2 years of tax returns or tax payment receipts
- Active client contracts or recent invoices (to show ongoing work)
- CA / accountant letter confirming income (strongly recommended)

Common Mistakes Self-Employed Applicants Make
- No business registration proof — always include the certificate, even if it's old
- Personal and business accounts look identical — if you mix personal and business finances, explain this in the letter
- No tax return — this is your equivalent of payslips; missing it is a red flag
- Vague return intent — "I will return after my trip" is not enough. Name specific client commitments or business obligations
- Income doesn't match bank credits — if you invoice quarterly or irregularly, explain the payment pattern in the letter
Most Questions Asked by Visa Applicants
Can a freelancer write their own employment letter?
Yes — since there is no employer, you write your own declaration letter. This is the standard approach and is accepted by all Schengen embassies. Use the templates above.
What documents does a self-employed person need?
Declaration letter, business registration, 6 months bank statements (personal + business if separate), tax returns, and ideally a CA/accountant letter confirming income. Client contracts showing active work strengthen the return-intent argument.
Is self-employment harder for Schengen visa?
It requires more documents, but approval rates are comparable if your financials are solid. The key difference is that you must prove income stability yourself rather than relying on an employer to do it for you.
